“It’s crucial that the tool we use for time tracking is intuitive”.

As we celebrate Beebole’s 12th Anniversary we ask ourselves, just how long is that in technology years? A lot to say the least. As times have changed so have we, and we have seen our customers evolve as well. We have loved watching their growth and success. Beebole wouldn’t be here without them, so we’ve put together a short series highlighting their work. The project management team has streamlined invoicing and is now able to catch and correct overruns before projects go over budget. The reporting provides greater accountability to senior management, allowing for more focused strategic discussions on maximizing output.

Key Performance Indicators (KPIs) for finance controllers are some of the most important metrics one can measure to determine company performance. Choose wisely, and get insight into what really makes your business soar. Choose not so wisely, and you’ll likely feel confused and lost, weighed down by metrics overload. That’s precisely why I chose to dive into this topic. I’ve worked in various industries and have seen first-hand what happens when finance KPIs go wrong. I want to show you my take on the reporting KPIs that every financial controller and FP&A should master, why they matter, and the formulas behind each one. Keep scrolling to watch the recording of the webinar I did on this topic, as well as download the Excel file I created with each and every KPI formula mentioned.

Ease of access

In Beebole, reports, or chart and table modules, are used for reporting. Both modules can be reached from your home screen or any business, project, subproject, absence, or task page. Even though these features are limited to Beebole’s desktop version, Beebole is available in many different forms on various devices

I can’t say enough about how easy and effective Beebole is for tracking time on projects. It is incredibly powerful yet simple to use. No one wants a “solution” that takes more time than the time-saving it is supposed to provide. For tracking projects and different scopes within a project, this is the easiest and most efficient use of my time. It gives us accurate and detailed information to include with client billing.

How do you use Beebole to manage your team and help in daily operations?

As a 501(c)(3) museum, we need to track our mission-specific programs and our fundraising activities for our donors and to make our Guidestar rating. Beebole allows us to track our yearly staff activities very accurately and with proof that we are efficient and mindful of our resources. We track the support we receive so everyone remains accountable while conducting their activities. We also look at the cost per program in our different departments such as Education, Exhibitions, and Retail, allowing us to make more informed decisions during our budget process. The reporting system in Beebole is great and I know our board appreciates being able to get a picture of what we do all day.ca

We’re honored that KMAC has been a Beebole customer for so many years. Has the way your team tracks time, or your motivation for tracking time, changed over time?

We have become more specific and intentional about staff costs. For instance, often non-for-profit 501(c)(3) organizations do not pay close enough attention to the staff costs for major fundraisers. Often a fundraiser brings in money but costs so much in staff time that profit margins are negligible. Beebole allows us to make more informed decisions about the true cost of our activities. We adjust accordingly. Everyone, 501(c)(3)’s and for-profit organizations, should use Beebole to track staff time.
